Case Study: Building Historical Payroll Data for Workday Conversion at USIC
At USIC, I was entrusted with supporting one of the company’s most important system projects: the migration from ADP to Workday. A major part of that effort was rebuilding each employee’s year-to-date payroll history so it could be imported accurately into Workday. The scope was significant, covering nearly 20,000 employees and requiring complete accumulator values for earnings, taxes, deductions, and benefits.
Because of my payroll, HRIS, and SQL background, I built a practical solution for the conversion data. Using SQL extracts from ADP’s raw payroll data, I developed a process to aggregate each employee’s year-to-date values, including gross pay, taxable wages, tax withholdings, Social Security, unemployment, 401(k), and employer contributions, and then convert that information into Workday’s required import structure.
ADP did not allow reporting on certain employer-paid fields, so I built cross-reference tables in Microsoft Access to calculate employer contributions and state-specific limits automatically. The database I designed generated accurate Workday import files, and every total matched ADP’s quarterly static reports to the penny.
The consultant supporting the implementation later confirmed that many companies pay outside teams significant fees to produce this level of conversion data. My internally built solution delivered that same level of accuracy while supporting a smooth Workday go-live and helping restore confidence in payroll after earlier system challenges.
